Maintenance Alert Feature

Available in: Enterprise and Lite editions.

Functionality:

This new feature in WorldLink provides the capability to enable users to enter the details for application maintenance. The purpose of this feature was to reduce the number of calls during any type of maintenance so that users will automatically be notified with the appropriate information.

 

Users have the following options for carrying out maintenance on a particular application:

 

1. Schedule Maintenance.

2. In Progress Maintenance.

3. Maintenance Completed.

 

In cases where Maintenance is Scheduled, WorldLink will generate a pop up window displaying the details of the Maintenance Request. This pop up window will be displayed when a user logs into the WorldLink application.

 

In the case of ‘In Progress Maintenance’, when users try to access the WorldLink application, a page will be displayed notifying the user regarding the on-going maintenance activity. Users will not be able to access the application during this time.

 

After the maintenance is completed, WorldLink personnel will be able to change the status of In Progress Maintenance to Maintenance Completed.

 

This feature can be accessed by clicking on Utilities | Maintenance:

 

This will open the password dialog box where the user will have to enter a password to access this feature. This feature requires the authorized user to enter a special password. This restriction is in place as this feature can only be accessed by CMS Professional Services, or other maintenance authorized users.

 

After validating the password the following screen is displayed:

 

If a Maintenance Information record already exists, the details will be displayed on the Maintenance page as shown above.

 

The field details for the above screen are as follows:

 

Add/Update Click:

Users will have to enter the above information and click Add/Update to save the information.

 

Delete Click:

Users will click this button in order to delete an existing maintenance schedule.

 

Validation Checks:

‘Performed By’, ‘Email’ and ‘Phone’ fields are required fields for all types of maintenance selection. The ‘Email’ field can contain only one valid email address.

 

Schedule Maintenance:

The Start Date/Time needs to be a future date/time.

End Date/Time needs to be a future Start Date/Time.

 

Application User Displays – Scheduled Maintenance:

In case of Scheduled Maintenance within the next 7 days, the following page is displayed when the user logs into the WorldLink application:

 

 

This page is to inform the user of the maintenance related information, so that the application users can plan accordingly.

 

Users will have to click the OK button to close the window and proceed further to navigate within the WorldLink application.

 

Application User Displays – In Progress Maintenance:

In case Maintenance is in progress, WorldLink users will be displayed the following page on every occasion when they try to access the application:

 

 

After the maintenance is complete, the maintenance authorized personnel will have to click on “Update Maintenance Page”. After clicking this link, the authorization password will yet again be required.

 

Once authorized correctly, the following page will be displayed:

 

 

The maintenance authorized user will have to click on the Maintenance Completed radio button and click Add/Update. This will indicate completion of the maintenance activity.

Following this last step, users will be able to access WorldLink as usual.

 

Maintenance History:

Reports can be run in WorldLink to view past Maintenance History activities that have taken place in the application. Reports can be accessed via the following steps:
