User Groups

Available in: Enterprise and Lite editions.

 

Go to Configuration - Users - User Groups to define access rights to user groups and build relationships between carriers and user groups.

 

The User Group screen is divided into three parts: the User Group, Access Rights, and Carriers. Existing user groups appear in the top half of the screen while the other two parts are shown in their respective areas in the bottom half. By default, WorldLink has one user group pre-defined.

 

Select a user group to view the access rights and carriers available to that user group. Make modifications to that relationship by clicking on the box to the left of the item in question in the access rights or carriers section. You can select and de-select all carriers by selecting the checkbox to the left of Code.  Similarly, the checkbox to the left of Name will select and de-select all access rights.  Modifications made to a user group must be saved before moving on to another user group, otherwise the changes will be discarded.

 

Available functions are:

Add - Click on this button to add a new user group. The user is presented with the User Group Dialog window.

Edit - Click on this button to edit an existing user group.

Delete - Click on this button to delete a user group. Be careful when deleting a user group with regard to access rights. Make sure that you don't delete the last remaining user group that has User Maintenance.

• Save Settings - Click on this button to save any modifications made to the relationship between the user group and the access rights or carriers available.

 

Access rights are applied at the menu level and in many cases the access rights are on the screen level. They only affect the ability of the user to access the menu option associated with that right. Access rights are defined below:

 

BOL Operations - Controls access to Bill of Lading operations.

Carrier Maintenance - Controls access to the Carrier setup menu options:

• Carrier Accounts

• Delivery Areas

Client Maintenance - Controls access to the Stations setup menu option.

Database Archive - Controls access to the Database Archiving configuration menu option.

Enable Packing - Controls access to the Packing setup menu option.

Export Consolidation – Controls access to the Export Consolidation tools menu option.

Freight Configurator - Controls access to the Freight Configurator setup menu option.

Global Address Book - Limits access to Global lists based on User Group.

Host System Maintenance - Legacy reference that does not control access to anything in WorldLink 6.0.

Manage DesktopLink – Gives user access to DesktopLink.

Manage Email – Gives user access to Email system tools menu option.

Manage Manifests - Controls access to the Manifest Explorer tools menu option.

Manage Packing – Controls access to the Packing Label tools menu option.

Manage Shipments - Controls ability to void shipments from the View Shipments screen.

Manage System Parameters – Controls access to the System Parameters setup menu option.

Org/Site XRef Maintenance - Controls access to the Org/Site Groups setup menu option.

Process Shipments - Controls access to the Process Shipments tools menu option.  Note: For WorldLink Lite, a view/rate only user with this option selected will only have the ability to rate, no shipping is allowed.  See Licensing for further information.

Reports - Controls access to the Reports menu option.

Reports Maintenance – Controls access to the Custom Reports setup menu option.

RFID Labeling – Controls access to the RFID Labeling tools menu option.

Script Maintenance - Controls access to the Scripts Maintenance setup menu options:

• Shipping Client Scripts

• Manifest Client Scripts

• WorldLogic

• Server Scripts

ShipVia Maintenance - Controls access to the ShipVias and BestWay Vias setup menu options.

Support Menu Maintenance - Controls access to the Support Tables setup menu options:

• Customers

• Departments

• Handling Units

• Products

• 3rd Party Accounts

SWOS Groups– Controls access to the SWOS Groups setup support tables menu option.

User Maintenance - Controls access to the Users setup menu options:

• User Groups

• Users

View Manifests - Controls access to the Archived Manifest tools menu option.

View Shipments - Controls access to the View Shipments tools menu option.

 

Note: For View/Rate Only User Groups, only the following access rights are available:

 

• Process Shipments (for the View/Rate Only user group this will allow only rating, not shipping)

• Reports

• View Shipments

 

The listing of carriers is pre-determined in WorldLink.

 

User Group Dialog

 

The User Group dialog window is presented to the user upon clicking on the Add button in the User Groups maintenance screen.  This window contains the following fields:

 

Code - This is the code by which you want the user group to be referenced in the WorldLink system. Certain functions of WorldLink will present the user with this code as reference to the user group.

Description - Enter a description for the user group.

Org/Site Group - Select the Org/Site group to be associated with the user group. The drop-down box lists all the Org/Site groups marked with the user-group group type.

Allow access to all user’s address list – Select to allow all users in this group to access all of the private customer address lists.  To learn more about private address lists, please see the topic Customers.

Prompt users to change password (based on 'System Parameters' settings) - Select this option to force all users in the user group to reset their passwords based on the Password Expiration (# of days) setting in System Parameters.  Selecting this option will automatically turn on this option for all users in the user group.  You can override this option at the User level.

Restricted to data owned by User Group - Select to restrict the user to only see data owned by the user's user group (this includes ShipVias, departments, etc.).

Note: Once a user group record has been saved, the View/Rate Only selection cannot be changed.

 

Available functions are:

OK - Click on this button to accept the changes made.

Cancel - Click on this button to cancel out of the User Group dialog window and discard any changes made.
